Description

The Office Manager is responsible for leading the effective management and operations of their designated Diamond Braces offices. In this position, you will play a crucial role in driving sales revenue growth through effective employee leadership, training and engagement. You will ensure every employee is delivering the Diamond Braces mission of providing affordable and accessible orthodontic care with amazing service.

Ensuring adherence to quality control and safety measures, you will improve operational procedures, enhance information flow and management, refine business processes, and bolster management reporting for the overall success of the practice while actively seeking opportunities to expand systems and practices.

This is a full-time position with possible late evening and weekend shifts. Availability for an on-call schedule is required.

Essential Functions

Sales and Operations:

  • Enhance sales revenue growth off the office
  • Lead strategic plans and reviews, implementing action plans to improve production, quality, and customer-service standards.
  • Lead forecasting requirements, preparing annual budgets, and analyzing variances.
  • Communicate all operating policies and issues at department meetings.
  • Manage staff levels, wages, hours, and contract labor to revenue and labor budgets
  • Communicate with legal counsel and safety department to ensure all processes remain OSHA-compliant

Management and Leadership:

  • Develop operational systems for excellence in customer service, employee retention, profits, and growth.
  • Maintain a safe and healthy work environment, ensuring compliance with legal regulations.
  • Plan and review compensation actions; enforcing policies & procedures
  • Initiate corrective actions as needed
  • Develop plans for employee retention and growth
  • Lead all department managers and supervisors, including review & approval responsibilities for all operations employees


Recruitment & Training:

  • Lead the recruitment, selection, training, and coaching of employees
  • Communicate job expectations and review job contributions of team members
  • Lead the team to provide exceptional customer service levels
  • Participate in educational opportunities and update job knowledge through industry publications, maintaining a professional network, and participate in professional organizations


Customer Service and Communication:

  • Serve as the primary point of contact for customer issues and accidents on-site
  • Lead the implementation of policies, procedures, and systems
  • Develop office operations in a customer service and satisfaction centered framework

Salary Range: $57,000-$72,000. 

The salary range provided in this job posting is an estimate based on current market data and internal salary structures. The final offer will be determined based on several factors, including but not limited to: experience, education, qualifications, and location.

Work Experience

  • Bachelor’s degree preferred, or a minimum of 5 years' experience in dental/orthodontic office in lieu of professional degree
  • Previous managerial/supervisory experience
  • Previous retail sales experience
  • Prior dental/orthodontic experience preferred
  • Ability to lift 25 pounds
  • Ability to sit for extended period while working on a computer
